One payout, one booking, matching the bank to the cent
Payout Ledger reads settlement reports from Amazon, Etsy, eBay and TikTok Shop and posts each payout into your accounting system as a single reconciled entry: sales by country and VAT rate, refunds, marketplace fees, advertising, reserves. It is native to the systems European sellers actually use, starting with lexoffice, sevDesk and DATEV.

The payout tools speak Xero and QuickBooks; your accountant speaks DATEV
A marketplace payout is not revenue. It is two weeks of sales, minus refunds, minus a dozen fee types, minus advertising, minus a reserve, plus a release of last period's reserve, with VAT collected at different rates in different countries. The deposit in the bank is the only number that is simple. Booking it as revenue overstates sales and understates fees, and the VAT by country never gets done properly.
There are good tools for this problem, but they were built for the English-speaking market. The two leaders post into Xero, QuickBooks, NetSuite and Sage, and nothing else. A German seller on lexoffice or sevDesk, whose Steuerberater wants DATEV, is told to switch accounting systems or do it in a spreadsheet.
The result is month-end spreadsheets, bookkeeper hours billed to untangle settlements, OSS returns built from marketplace exports by hand, and a bank account that never reconciles. The pain is recurring, and it grows with every new marketplace.

Connect marketplaces
Authorise Payout Ledger in Seller Central, Etsy, eBay or TikTok Shop. We pull settlement reports going back up to 24 months, so you can catch up on past periods.

Connect your accounting system
Connect lexoffice or sevDesk, or set up the DATEV export for your Steuerberater. Choose SKR03 or SKR04 and review the default account mapping; most sellers change two or three lines.

Review the first payouts
Each payout is shown as a breakdown: sales by country and rate, refunds, fee types, advertising, reserves, and the bank total. You approve the first few; after that, posting can run automatically.

The posted amount equals the deposit, so your accounting system's bank matching finds it immediately. At quarter end, download the OSS summary by country.

Payout breakdown
Each settlement is broken into sales, refunds, shipping charged, promotions, marketplace fees by type, advertising, reserves held and released, and adjustments. Every line traces back to the settlement report rows it came from.
VAT and OSS split
Sales are grouped by destination country and VAT rate. Supplies where the marketplace collects VAT as deemed supplier are separated from your own. A quarterly OSS summary by country is one download.
Native posting
Posts into lexoffice and sevDesk as vouchers against your SKR03 or SKR04 accounts, or produces a DATEV booking batch (Buchungsstapel) your Steuerberater can import directly.
Fee treatment
Marketplace fees invoiced from another EU country are posted as reverse-charge services so they appear correctly in your advance VAT return. Fee invoices from the marketplace are matched to the deductions in the settlement.
Bank-exact totals
The posting total always equals the payout. Rounding and currency differences are posted to a dedicated account rather than hidden, so the books match the bank to the cent.
Historical backfill
Import up to 24 months of past settlements to fix prior periods, with a per-month summary so your bookkeeper can see the effect before anything is posted.

Your first week
We onboard new accounts within 2 business days. We review your first payouts with you and confirm the account mapping with your Steuerberater if you want us to.
- Day 1: Request service and tell us your marketplaces, accounting system, chart of accounts and whether you file OSS.
- Day 2–3: Your account is live. Connect marketplaces and your accounting system; we import recent settlements and propose the mapping.
- Day 4–5: Review the first three payout breakdowns, adjust the mapping, and post them. Check that the bank matching works.
- Day 7: Automatic posting is on. Backfill earlier months if you need to, and share read access with your bookkeeper.
Security and data
- Marketplace and accounting connections use each platform's OAuth or app authorisation; we never hold your marketplace or accounting passwords, and you can revoke access from the platform at any time.
- Data is stored in an EU data-centre region, encrypted at rest and in transit (TLS 1.2 or higher).
- Only you and the bookkeepers you invite can see your breakdowns and postings; support access is granted by you per session and logged.
- Settlement data is kept while your account is open so prior periods can be re-examined; German record-keeping rules expect ten years for accounting records, so export before deleting.
- Full export at any time and deletion on request within 30 days, confirmed by email.
Questions
Which accounting systems work today?
lexoffice and sevDesk connect directly, and DATEV is covered by a booking-batch export your Steuerberater imports. Pennylane (France), Moneybird (Netherlands) and Fortnox (Sweden) are planned; tell us which one you need when you request service and we will prioritise by demand.
Is this tax advice?
No. Payout Ledger is bookkeeping software. It applies the mapping and VAT treatment you and your accountant configure. Whether you must register for OSS, how to treat a particular supply, or which account a fee belongs in, are questions for your Steuerberater.
Does it file my OSS or VAT return?
No. It produces the sales-by-country summary and the postings your advance VAT return (UStVA) is built from. Registration and filing are done by you or your accountant through the tax authority's portal.
How are Amazon reserves handled?
Reserves held are posted to a receivable account and released reserves reverse it, so the payout total still matches the bank while sales are recognised in the period they happened.
Is the interface in German?
The interface is in English. Account names and voucher fields are shown exactly as your lexoffice, sevDesk or DATEV chart shows them. Support is in English today; German-language support is planned.
What about Shopify Payments, Kaufland or Otto?
Not yet. We started with the four marketplaces where settlement data is accessible and sellers asked for it most. Request service and tell us which channel you need; founding customers set the order.
What if a payout does not balance?
It is held for review and never posted automatically. You see which settlement rows could not be classified, assign them, and the posting then balances to the deposit. Unresolved differences go to a clearly named account, not into revenue.
