For sole traders, micro businesses and small companies with a Polish NIP

KSeF set up before 2027, without hunting through Polish forums

On 1 January 2027 Poland's penalty-free KSeF period ends, KSeF tokens stop working and the exemption for the smallest businesses disappears. Gotowi na KSeF takes you through all of it in one day: a KSeF certificate, permissions for your accountant, your current or a free invoicing tool connected, purchase invoices collected automatically and a test invoice issued in the KSeF test environment. Pay once, no subscription.

  • A KSeF certificate instead of a token, before tokens are switched off, and clear instructions for offline and emergency mode.
  • Permissions for your accountant or accounting firm set correctly, so purchase invoices reach them without you.
  • A test invoice issued and received before the deadline, in the software you already use or the Ministry of Finance's free tools.

Why now

Three changes at once on 1 January 2027, and the instructions are scattered

Since 1 February 2026 every business in Poland must receive invoices through KSeF, the national e-invoicing system, and since 1 April 2026 the obligation to issue them covers the rest of the market. The smallest businesses, with sales up to 10,000 zł gross a month, may still invoice outside the system until the end of 2026, and 2026 as a whole is penalty-free. All of that ends on 1 January 2027.

Logins change on the same day. KSeF tokens, which many invoicing programs and accounting firms rely on, are withdrawn and only KSeF certificates remain. Anyone who has not switched will see a login error in January, and from 2027 issuing an invoice outside KSeF can bring administrative penalties.

None of the steps is hard, but they are spread across the certificate and permissions module, the taxpayer app, your software's settings and your accountant's access, and almost all the guidance is in Polish. Gotowi na KSeF goes through them with you in one video call and checks it works before things get tense.

How it works

How it works

  1. 1

    A short questionnaire

Legal form, invoicing software, who does your bookkeeping, how many invoices you issue and receive per month, and whether you already use a KSeF token. Five minutes.

  2. 2

    A plan for one call

Within one business day you get the list of steps for your business and a call slot. If your software handles certificates on its own, we tell you straight away.

  3. 3

    Video call with screen share

You log in with your trusted profile or signature; we guide each step: KSeF certificate, accountant permissions, invoicing software connected. About 45 minutes, in English or Polish.

  4. 4

    Test and summary

A test invoice issued and received, purchase-invoice download checked, and a one-page summary: what was set up, where the certificate is and what to do when KSeF is down.

What it does

Features

KSeF certificate instead of a token

Certificate requested in the official app, stored safely on your side and connected to your invoicing software. The old token revoked so there are not two ways in.

Permissions for your accountant

Your accounting firm gets exactly the access it needs: reading purchase invoices and, if you want, issuing. Without sharing your login.

Invoicing software connected

Your current program connected to KSeF with the certificate or, if you only issue a few invoices a month, the Ministry of Finance's free tools set up with your details and template.

Purchase invoices without you

Supplier invoices downloaded automatically into your accounting software or passed to your accounting firm, checked on a real invoice.

Tested before the deadline

An invoice issued in the KSeF test environment and received by the other side before penalties start. You know it works before it matters.

Plan for outages

Short instructions for offline and emergency mode: when you may invoice outside the system, how to mark the invoice with a code and when to send it to KSeF.

One-page summary

What was set up, who has which permissions, when the certificate expires and whom to ask. Keep it for an audit or a change of accountant.

Your invoicing software provider
Many programs walk you through the certificate switch themselves. If yours does, we will say so straight away. Accountant permissions, purchase invoices and the test still remain.
Your accounting firm

Security and data

  • We never store passwords, trusted-profile logins or your KSeF certificate: the certificate stays with you and you always log in yourself.
  • Any access for us, if needed at all, is temporary and removed when the work is done, which we confirm in writing.
  • Questionnaire data (NIP, software, invoice volumes) is stored encrypted and deleted 90 days after delivery, or sooner on request.
  • Only the people handling your order can access it, and every access is logged.

Questions

My sales are under 10,000 zł a month. Do I need to do anything?

Yes, before 1 January 2027. Until the end of 2026 you may invoice outside KSeF, but that exemption ends in January, and you have had to receive invoices through KSeF since 1 February 2026.

What happens to my KSeF token?

Tokens work alongside certificates until the end of 2026. From 1 January 2027 only KSeF certificates remain, so software that logs in with a token will stop connecting.

Do you log in as me or use my trusted profile?

No. You always log in yourself, and we guide you through each step on a video call with screen share. We do not store your passwords or your certificate.

Do I have to buy invoicing software?

No. For a small number of invoices the Ministry of Finance's free tools are enough. If you already have a program, we connect it to KSeF. We take no commission from any provider.

What penalties apply from 2027?

From 1 January 2027, administrative penalties can be imposed for KSeF breaches such as issuing an invoice outside the system. Check the exact amounts in the regulations or with your accountant.

How long does it take?

You get the plan within one business day, and the setup itself is one video call of about 45 minutes, usually within 2 business days of ordering.

Is this tax advice?

No. Gotowi na KSeF is a technical setup service. For tax questions about your business, your accountant or tax adviser has the final word.

Ready when you are

Tell us about your setup. We confirm by email and get you running within 2 business days.
