Why now

Telehealth made multi-state practice normal; the paperwork did not get simpler

A counselor seeing clients in four states through the Counseling Compact holds one home license and three separate privileges, each with its own fee, renewal date and rules. A psychologist under PSYPACT tracks an E.Passport and an APIT on top of the home license. Multiply by twenty clinicians and the spreadsheet stops working.

The cost of a miss is not a late fee. Practising on a lapsed privilege is practising without a license in that state, which can mean board discipline, payer clawbacks and malpractice coverage questions. Payer panels add their own cadence of re-attestation and recredentialing that nobody remembers until a claim is denied.

Existing tools are built around continuing education and course sales, or around hospital-scale credentialing. License Ledger is the small, independent layer in between: who holds what, where, until when, and what they still need to do about it.

Compact-aware credential records

Record home licenses and the privileges that sit on top of them: NLC multistate licenses, PSYPACT E.Passport and APIT, Counseling Compact, PT Compact and PA Compact privileges, each with its own fee and renewal date.

Escalating renewal reminders

Email and SMS at 90, 60, 30 and 7 days before expiry, to the clinician and to the admin, plus an overdue notice every day until the item is marked renewed.

CE requirement tracker

Enter the hours and categories a board requires for the renewal cycle (ethics, suicide prevention and so on), log completed courses with certificates, and see the gap. Rules are pre-filled where we have them and editable everywhere.

Public lookup verification

For boards that publish a license-verification page, License Ledger rechecks status on a schedule and flags a change to expired, lapsed or disciplined. Where no lookup exists, the record relies on the dates you enter.

Payer and CAQH re-attestation reminders

Track each clinician's payer panels, CAQH attestation date and recredentialing cycle, and get reminded before they fall due. Reminders only; we never log into payer portals.

Admin dashboard and exports

Practice owners and credentialing staff see every clinician's status in one list, filter by state or profession, and export CSV for payer applications and malpractice renewals.

Clinician self-service login

Each clinician sees only their own records, uploads certificates and subscribes to a calendar feed of their deadlines. Admins see everyone.

Getting started

Your first week

Most practices have every clinician's credentials entered and the first reminders scheduled within a week; collecting certificates is the longest step.

  1. Day 1: Request service; we set up your account and admin login within 2 business days.
  2. Day 2–3: Import your clinician list, enter home licenses and compact privileges, invite clinicians to upload certificates.
  3. Day 4–5: Confirm CE requirements per board, add payer panels and CAQH dates, set reminder recipients.
  4. Day 7: Review the practice dashboard; anything red or yellow is the renewal work for the month ahead.

Security and data

  • Credential records and certificates are stored on servers in the United States, encrypted at rest and in transit.
  • No patient data is collected or stored; the data model has no fields for it.
  • Clinicians see only their own records and admins see their practice; logins use email verification with optional two-factor authentication.
  • Data is exported on request at any time and deleted within 30 days of a deletion request, or 90 days after cancellation.

Questions

Is License Ledger a credentialing or legal service?

No. It is tracking software. It does not verify credentials with primary sources on your behalf, submit renewals or tell you where you may practise. License Ledger is software, not legal or regulatory advice; confirm scope-of-practice and renewal rules with the relevant board or compact commission.

Does it handle patient data or need a HIPAA business associate agreement?

License Ledger has no fields for patient information and should never receive any. Because it stores only clinician credential data, it is designed to sit outside your HIPAA-covered systems. Confirm with your compliance officer; we will sign a BAA if your policy requires one.

Which compacts are covered?

The Nurse Licensure Compact, PSYPACT (E.Passport and APIT), the Counseling Compact, the PT Compact and the PA Compact at launch, plus single-state licenses for any profession. Compacts roll out state by state; we update member states and rules as they go live, and you can always enter a privilege manually.

How reliable are the public lookup checks?

Board websites change without notice, so an automated check can break. When a check fails, the record shows 'last verified' with the date rather than a false green, and we repair the lookup. Your entered dates and reminders keep working regardless.

Isn't CE Broker's free tier enough?

For a single-state clinician whose board uses CE Broker, often yes. It does not cover compact privileges, payer re-attestation or a practice-wide view across clinicians and states, which is where License Ledger is aimed.

How is the Practice plan billed?

On the number of active clinicians on the first of each month, at $5 each with a $25 minimum. Add a clinician mid-month and they are billed from the next cycle; mark one inactive and they drop off.

What happens to the data if we cancel?

Export everything as CSV plus a zip of certificates from your account. We keep the data for 90 days after cancellation so you can download it, then delete it.
